The incumbent will assist in managing the procurement of goods, services and works in accordance with the relevant principles, policies, procedures and guidelines to ensure that the best value for money is obtained.
Logging incoming Purchase Requisitions and Invoices
Notifying & following up with responsible Officers for outstanding documentation (s)
Liaising closely with Accounts Payables and other internal and external customers regarding the status of Purchase Requisitions/Invoices submitted for processing in the Division
Submitting to the Executive Director’s Office, Purchase Requisitions and other related documents for approval and ensure their return
Populating Supplier Evaluation ratings in the Supplier Evaluation Excel File and following up with responsible Officers for invoices without ratings
Notifying suppliers with “poor” or “unsatisfactory” performance ratings and conducting the appropriate follow-up
Preparing Minutes of the Internal Procurement Committee meetings and maintaining proper files
Assisting with the processing of online purchases
Assisting with the processing of Purchase Requisitions & Tax Certificates in the absence of the Assistant Procurement Officer
Any other duties requested by the Supervisor
Comprehensive knowledge of Government Procurement Guidelines and other Regulations
Good interpersonal and communication skills
Working knowledge of Microsoft Excel, Word and PowerPoint and an Accounting Software
Strong analytical skills
Ability to meet tight deadlines
Keen eye for details
Maintain confidentiality and integrity
Diploma in Business Administration or equivalent
Computer literate in Microsoft Office Suite
Minimum of two (2) years experience in a similar capacity
